THE HEART SOLUTION RETREAT — BOOKING TERMS & CONDITIONS
1. Definitions
For ease and clarity:
• “We/Us/Organizers” refer to The Heart Solution Retreat and its facilitators, staff, and partners.
• “You/Guest/Participant” refers to the individual attending or booking the retreat.
• “Retreat” refers to the program, activities, accommodations, and services included in the retreat package.
2. Payment Terms
Your place in the retreat becomes official only once payment is received and confirmed in writing by us. Because the group is intimate (8 people max), each spot is precious.
• Bookings made within 60 days of the retreat require full payment.
• Bookings made earlier may be secured with a €1000 deposit.
• The remaining balance is due 45 days before the retreat start date.
International bank fees and card processing fees are the guest’s responsibility.
If the remaining balance is not paid on time, we may release your spot. Any payments already made will be subject to the cancellation policy.
3. Cancellation Policy (Guest)
While we do not offer cash refunds, payments may convert to retreat credit:
• More than 60 days prior: 100% credit
• 60–89 days prior: 75% credit
• 30–59 days prior: 40% credit
• 29 days or fewer: No credit
Retreat credits:
• Are valid for 12 months from the date of issue
• Apply to the retreat rate at the time of rebooking
• May be transferred or gifted
• Do not guarantee placement until officially confirmed
No-shows, unused portions, or early departures are not eligible for credits or refunds.
4. Cancellations by Organizers
If, for any reason, we cancel a retreat, you may choose:
• A full refund of your retreat payment, or
• Transfer of your payment to a future retreat date
External costs (flights, visas, etc.) are not reimbursable.
4.1 Force Majeure
If cancellation or disruption occurs due to events outside our reasonable control—including but not limited to natural disasters, extreme weather, pandemics, travel restrictions, political instability, war, civil disturbances, illness of facilitators, or any government-imposed limitations—we will issue full credit toward a future retreat but not a refund.
The credit will remain valid for 18 months.
5. Travel Insurance (Mandatory)
All participants must hold valid travel insurance covering:
• Medical care abroad
• Trip cancellation
• Emergency evacuation and assistance
Proof of insurance must be provided prior to arrival.
Guests without valid insurance may be denied participation without refund or credit.
6. Health, Wellbeing & Participation
The Heart Solution Retreat is a nurturing environment for reflection, connection, and personal growth. It is not a medical, psychological, or clinical program.
To honor the safety of the group:
• You agree to disclose any physical, emotional, or psychological conditions that may affect participation.
• By joining, you confirm you are able to engage in retreat activities unless explicitly stated otherwise.
If your wellbeing—or the wellbeing of the group—is impacted in a way that makes continued participation unsafe, we may lovingly ask you to step out of the retreat.
In this case, no refund or credit is provided.
You are responsible for any personal medical needs and associated costs during the retreat.
We reserve the right to refuse participation if conditions are undisclosed or become unmanageable in the retreat setting.
7. Assumption of Risk & Liability Limitation
By attending the retreat, you acknowledge and accept that participation involves inherent risks, including but not limited to physical activity, emotional exploration, outdoor environments, and travel-related risks.
To the fullest extent permitted by law:
• You voluntarily assume all risks associated with participation.
• You release and hold harmless the Organizers, facilitators, and property owners from all liability for injury, illness, loss, or damage arising from your participation, except in cases of proven gross negligence or willful misconduct.
• You agree to follow all safety instructions provided by facilitators and staff.
8. Personal Property
You are responsible for your personal belongings throughout the retreat.
The Organizers are not liable for loss, theft, or damage to personal items.
9. Conduct & Community Agreements
We honor the retreat as a sacred, supportive environment.
Participants agree to:
• Respect fellow guests, staff, and the retreat space
• Maintain confidentiality of group sharing
• Engage in activities with care and presence
The Organizers may ask a participant to leave if behavior endangers the safety or integrity of the retreat.
No refunds or credits will be issued in these circumstances.
10. Media Consent (Optional)
You may be asked for your consent to share photos or videos captured during the retreat.
Consent is optional.
If granted, you may withdraw consent at any time, though materials already published cannot be retracted.
11. Governing Law & Jurisdiction
These Terms are governed by and construed in accordance with the laws of Romania.
Any disputes arising from or relating to the retreat shall be resolved exclusively in the courts of [chosen jurisdiction where the Heart Solution is registered as business entity], unless otherwise required by local consumer-protection law.
12. Dispute Resolution (Mediation → Arbitration)
Before initiating legal action, both parties agree to:
1. Attempt to resolve the matter amicably, in writing.
2. Participate in a good-faith mediation facilitated by a neutral third party.
3. If mediation does not resolve the issue, the dispute shall be settled by binding arbitration, conducted in the agreed jurisdiction, under the rules of a recognized arbitration authority.
The decision of the arbitrator is final and enforceable.
Each party is responsible for its own costs unless otherwise ordered.
13. Modifications to Terms
We may update these terms if necessary.
Any changes will apply to future bookings and will be clearly communicated.
14. Acceptance of Terms
By booking and attending the retreat, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
